Why should I use an app like Dext instead of paper records?

Introduction

Dext is a powerful tool that can be used to create a comprehensive system for managing your business’s finances. To do this, the platform uses templating technology to extract important pieces of written information from a range of company accounts. This includes financial documents such as receipts and invoices. The aim of this is to make paper-based bookkeeping a thing of the past. In this blog post, we look at why you should make the switch to an app like this today.

What are the advantages of Dext?

The 3 main advantages of Dext over paper-based records are:

1. It’s more secure than paper-based records

Dext is more secure than paper-based records because all files are stored in a centralised location. Plus, every user is assigned a ‘User Privilege’, which determines the level of access they have to their own submissions, the submissions of others and the internal settings of their Dext Prepare account.

As such, if someone’s device is compromised or stolen, the perpretator will not be able to access all of a company’s records. Plus, they’ll need the user’s login information to gain access to the platform too, adding another layer of security. Paper-based documents, on the other hand, are much easier to steal. This is because they are often stored in a filing cabinet inside of an office, meaning that an individual wishing to gain access to these documents only has to enter the room when empty.

2. It’s easier to access

Dext is easier to access because you can access your information from anywhere, as long as you have an internet connection. This means that, when travelling for work, you don’t have to worry about missing anything important. Plus, you don’t have to carry around potentially heavy or awkward files which could easily become lost or stolen.

3. It’s more efficient

Dext makes it much easier to collect all your invoices and receipts as-you-go using your mobile phone app or the computer. It removes your paperwork stress.

Dext is faster to search for information and make changes because it allows you to search your entire system of records all at once, instead of having to go through each record one by one. What’s more, the filter option enables you to bring up documents that meet your specified criteria or share certain characteristics, saving you from having to scroll through countless documents until you find what you need.
